Position Overview: We are seeking a highly organized and detail-oriented Chief of Staff, Marketing to support our Global CMO and oversee the operations of our remote marketing team based in Lahore, Pakistan. The ideal candidate will act as the CMO’s representative on the ground, ensuring seamless coordination across teams, maintaining HR and administrative oversight, optimizing workflows, and driving operational excellence. This role is critical for ensuring our team’s productivity, alignment, and successful execution of strategic initiatives.
Responsibilities:
Strategic Oversight and Support:
- Work Intake and Prioritization:
- Act as the primary gatekeeper for incoming marketing requests, ensuring all tasks are logged, prioritized, and assigned in Jira based on capacity and business impact.
- Implement and enforce SLAs for marketing requests, aligning expectations with team capacity.
- Cross-Pod Alignment:
- Coordinate between pod leaders to ensure alignment on interdependent tasks and projects.
- Address resource conflicts or bottlenecks between pods and escalate critical issues.
- Budget Management:
- Partner with the CMO to create and manage budgets.
- Track monthly expenditures and ensure each team submits updated reports each month.
- Provide updates on budget utilization and flag variances for corrective action.
HR and Administrative Management:
- HR Tracking and Support:
- Maintain and manage the team vacation calendar, tracking sick time and ensuring accurate records.
- Monitor attendance and ensure team members are adhering to agreed schedules and on-time office presence.
- Assist with the hiring process and onboarding new hires.
- Equipment and Resource Procurement:
- Oversee the procurement of necessary equipment (e.g., laptops, cameras) to ensure team productivity.
- On-the-Ground Presence in Pakistan:
- Act as the CMO’s representative to provide oversight and address local challenges.
- Identify and communicate any cultural or operational barriers impacting the team’s performance.
Team Management and Process Improvement:
- Process Optimization:
- Audit and enhance workflows (e.g., Jira) to ensure tasks are logged, tracked, and updated accurately.
- Create and implement a task review process to support pod leaders in maintaining task accuracy.
- Performance Monitoring:
- Regularly review team and individual performance against KPIs.
- Collaborate with pod leaders to address inefficiencies or underperformance.
Communication and Stakeholder Management:
- Stakeholder Liaison:
- Serve as the primary point of contact for senior leaders in Pakistan, addressing their concerns and managing escalations.
- Provide updates to the CMO on team challenges, morale, and progress.
- Internal Communication:
- Ensure consistent communication between pods and the CMO.
- Oversee weekly reporting processes, ensuring all leaders provide concise, high-quality updates.
Operational Excellence:
- Project and Task Oversight:
- Track the progress of key marketing projects and campaigns, ensuring deadlines and quality standards are met.
- Identify risks and escalate critical issues to the CMO before they impact deliverables.
- Tool and Workflow Management:
- Oversee the use of Jira and Teams, ensuring tools are utilized effectively and consistently.
- Automate recurring reports and create templates to streamline administrative tasks.
- Data-Driven Insights:
- Monitor team data (attendance, task updates, project progress) to provide actionable recommendations for improvement.
- Track resource allocation and identify gaps that need to be addressed.
Qualifications:
- Bachelor’s degree in business or a related field; Master’s degree or MBA preferred.
- A minimum of 10 years of team management experience, ideally in a B2B technology or SaaS environment.
- Strong background in HR administration, project management, and operations.
- Exceptional organizational and communication skills.
- Familiarity with marketing workflows, tools like Jira, Teams, Chat-GPT, and budget management.
- Strong interpersonal skills to bridge cultural and operational gaps between global teams.
